Create Asia & Pacific Cheque Payment

A cheque payment is a request to prepare a physical bank or customer cheque. Cheque Payments can include single or multiple cheques using a payment method available in your region, e.g., Bank Cheque or Customer Cheque. For more information, please refer to Asia & Pacific Payment Types.

  • The Create Payment screen is currently only available for PNG customers, with other Pacific jurisdictions, Laos and Japan coming soon
  • Create Payment menu is available to users with Initiator access
  • You can also create payments using a Payment Template, Payment File or Existing Payment
  • Payment Method Types are jurisdiction specific and therefore not available in all regions

To create a cheque payment and manually enter the payment instructions, follow the steps below:

STEP ACTION
1 Go to the Asia & Pacific Payments > Create Payment screen
You can also create a payment by clicking New on the Control Bar in the Approve Payments and Current Payments screens.
2 Click Cheque Payment.
3 If you are entitled to more than one Division, select the Division under which the payment will be made, i.e., a parent or subsidiary organisation. The Bank/Branch field will prepopulate from the Division selected.
4 Select the Debit Account.
5 Choose the Payment Method, e.g., Bank Cheque or Customer Cheque.
6 Execution Date will prepopulate with today's date.

If required, click Later to choose a future date from the calendar.

  • The Payment Currency will prepopulate with the debit account currency
  • The Payment Amount will populate when the Beneficiary Details are entered
  • If you select a different payment currency, an FX Details section will appear under Beneficiary Details
If required, select the Payment Currency.

Confidential checkbox is available to users who have access to Confidential payments. 
If required, tick Confidential to restrict access to view, edit and approve this payment.

Individual Debits checkbox can be selected when two or more beneficiaries are entered.
If required, tick Individual Debits to display a separate debit entry for every credit on your account statement report.
10 Click Add to add Beneficiary Details

11 Enter the Beneficiary Name

Choose from:

Add New Beneficiary
  1. Enter Beneficiary Name
  2. Enter Beneficiary Address
  3. Enter Beneficiary Account
  4. If required, enter Beneficiary emails
Click Proceed
RESULT: Beneficiary Name and Account will appear in the Beneficiary Details grid, pending further details. Add Beneficiary in list.png
  • Currently, new beneficiaries cannot be saved to your Payee List.
  • If entering multiple email addresses:
    • Separate email addresses by a comma
    • Email addresses cannot exceed 255 characters
    • Emails will be sent to the beneficiary when payment status is Closed
Search Beneficiaries
Search and select a Beneficiary from the Payee List
RESULT: Beneficiary Name and Account will appear in the Beneficiary Details grid, pending further details. Search beneficiary in list.png

12 If required, enter Payment Reference.
13 Enter Amount.
14 If required, click Details icon to add or amend Beneficiary Details. Fields available:
  1. Beneficiary Name
  2. Beneficiary Address
  3. Beneficiary Account
  4. Beneficiary Emails
  5. Payment Amount
  6. Payment Reference
  7. Charges (Shared, Ours, Beneficiary)
  8. Cheque Delivery Method, choose from:
    1. Courier to Beneficiary
    2. Mail to Beneficiary
    3. Mail to my Organisation
    4. Pick up by Beneficiary
    5. Pick up by my Organisation
  9. Payable Location
  10. Print Location
  11. Mailing Address
  12. Remittance Information
  13. Invoice Details

Click Save

  • Currently, new beneficiaries cannot be saved to your Payee List.
  • If entering multiple email addresses:
    • Separate email addresses by a comma
    • Email addresses cannot exceed 255 characters
    • Emails will be sent to the beneficiary when payment status is Closed
15 If required, Add additional Beneficiaries.
16 If required, enter FX Details.

Choose Rate Type from:

  1. Carded - FX rate is indicative only and subject to change at any time without notice
  2. Contract - enter booked Contract ID and FX Rate
Currently, you can only add one rate per payment.
17 If required, click Attach Document to add supporting documents.
  1. Search and select document
  2. If required, choose Category

  • Follow Attach Document process again to add any additional documents.
  • Document formats acceptable: PDF, DOCX, DOC, XLSX, XLS
  • Document file size cannot exceed 5MB
  • Documents can only be viewed and/or deleted once payment is submitted for approval
18 Click Review & Submit
Error?
If mandatory fields are missing content or an error has been detected, you will receive a message to update the payment instructions. Impacted fields are highlighted in red.

19 Click Submit
RESULT: A confirmation pop-up message displays. Confirmation pop-up message.png
20 Choose your next course of action:
  1. Review this Payment from the Payment Details screen
  2. View Approve Payments from the Approve Payments screen
  3. Create a New Payment
  4. Click OK to return to the Create Payment screen
