Supplier Portal Overview

ANZ Transactive Trade allows you to accept and authorise Invoice Offers made through ANZ Payables Finance programs.

The Supplier Portal module also facilitates enquiries and reporting about invoices and credit notes that have been submitted through a Payables Finance program.

Suppliers will be set-up with one of the following configurations as part of the Supplier Agreement:

Manual Elect: invoice offers are made available to the supplier through the Supplier Portal. The Supplier can select one, many or all invoices for early payment.
Auto-Finance: a one-off agreement is executed between the Supplier and ANZ requesting ANZ to purchase all invoices submitted through the Payables Agreement. For suppliers registered with Auto-Finance, the Supplier Portal can be used for enquiries and reporting.

Accepting an Invoice Offer

The standard workflow for accepting an Invoice Offer (request financing) is as follows:

ANZ Transactive Trade will generate an email notification when new invoice offers are available.

Invoices Offers screen

The Invoice Offers screen will list all invoices that are presently eligible for early payment.
By default, the invoice offers are displayed in batches based on currency and invoice Due/Payment Date.

COLUMN	DESCRIPTION
No. of Invoices	This will display the count of invoices that are associated with this invoice group. By clicking on the value, you will be taken to a new screen that lists all of the invoices and credit notes associated with the group. Refer Invoices section for further information.
CCY	Currency of the invoices.
Invoice Amount	Sum amount of the invoices associated with the invoices.
Due/Payment Date	The Due Date or Payment Date associated with the invoices. Payment Date is an alternative date (to the invoice due date) that the buyer has instructed these invoices to be paid on. Early payment pricing is based on Due Date or the Payment Date if the Payment Date is present.
Future Value Date	If a Future Value Date has been assigned to this group of invoices, the date will appear. Refer to Future Value Date section for further information.
Credit Notes	A Yes or No indicator for Credit Notes being linked to associated invoices.
Invoice Amount After Adjustments	If Credit Notes have been applied, this column will display the sum Invoice Amount less sum of Credit Notes. If Credit Notes have not been applied, this value will be the same as the Invoice Amount.
Net Amount Offered*	*The “Net Amount Offered” displayed herein is for indicative purpose only and does not represent a final or binding payment amount. The Net Amount Offered recalculates daily based on the underlying index rate and days remaining to Invoice Due/Payment Date.
Invoice Group	If the Invoice Group was created through the Group Invoices option, this will display the relevant Group Name. Refer to Group Invoices section for further information.
Status	The status of the Invoice Offer group.
PDFs	This field will indicate Yes or No if PDFs were linked to the invoices.

INVOICE STATUS	DESCRIPTION
Buyer Approved Invoice	This is the initial status of the Invoice Offers, indicating the Invoices have been approved by the Buyer.
FVD Assigned	Future Value Date has been assigned to the Invoice Offer Group.
Offer Accepted	First step of the accepting the Invoice Offer group has been completed.
Partially Authorised	Invoice Offer group has been partially authorised and is pending one or more approvers.
Returned By Bank	The Invoice Offer group could not be processed by bank, these Invoice Offers are available again for selection.

Accept an Invoice Offer

STEP	ACTION
1	Select one or many rows of Invoice Offers to be accepted
2	Click Accept Offer and select Accept Offer
3	Invoices selected will update with status of Offer Accepted

Approve an Invoice Offer

Select one or many rows of Invoice Offers with the status 'Offer Accepted' to progress with authorisation.

Click Authorise and select Authorise

Click Authorise from the Context Panel menu to approve transactions in a Ready to Authorise or Partially Authorised status from within the transaction screen. You can also Authorise a transaction from the Pending Transactions screen.

Follow the instructions below that apply to you:

Authorise via One Time Password (OTP)

STEP	ACTION
1	Press and hold down the < arrow and lock icon on your VASCO security device
2	Enter your 6-digit PIN
3	Press 1 on your device to display the authorisation code
4	Enter your authorisation code, then click Approve RESULT: A confirmation message confirms the transaction(s) is approved. If the transaction requires additional approvals, the transaction status will change to Partially Authorised and remain in this status until all approvals are obtained. If this is the final approval, the transaction status will change to Authorised. If there is an error in the approval process, the transaction status will change to Authorise Failed.

Authorise via Signature Code (SIG)

STEP	ACTION
1	Press and hold down the < arrow and lock icon on your VASCO security device
2	Enter your 6-digit PIN
3	Press 2 on your device and enter the token code from your screen
4	Press the < arrow to display the authorisation code
5	Enter your authorisation code, then click Approve RESULT: A confirmation message confirms the transaction(s) is approved. If the transaction requires additional approvals, the transaction status will change to Partially Authorised and will remain in this status until all approvals are obtained. If this is the final approval, the transaction status will change to Authorised. If there is an error in the approval process, the transaction status will change to Authorise Failed.

Authorise via a Push Notification

STEP	ACTION
1	Tap on the ANZ Digital Key notification on your mobile device to launch the ANZ Digital Key app
2	Tap Log On and authenticate access by entering your PIN, Face ID or Fingerprint ID. The screen will display the details of the request requiring approvals
3	Review the pending request details shown in ANZ Digital Key and tap to Accept or Decline the request
4	The request will be processed and completed. Close the app as no further action is required

Authorise via a QR Code

STEP	ACTION
1	Tap Log On in ANZ Digital Key and authenticate access by entering your PIN, Face ID or Fingerprint ID
2	Tap Scan QR Code on the screen. ANZ Digital Key will switch to camera mode. Use the camera to scan the request approval QR Code from your desktop or laptop computer.
3	Review the pending request details shown in ANZ Digital Key and tap to Accept or Decline the request
4	The request will be processed and completed. Close the app as no further action is required.

If Invoices Offers can be authorised by a single authoriser, the invoices will be immediately sent to ANZ for processing
If Invoices Offers require authorisation by two or more authorisers, the invoice status will be updated to Partially Authorised.

After the final authorisation the invoices will be immediately sent to ANZ for processing.

Invoices

To view invoice details associated with an Invoice Offer group click on the No. of Invoices.

COLUMN	DESCRIPTION
Invoice ID	This column lists the invoice number/reference/ID that was submitted by the Buyer.
CCY	Currency of the invoice.
Invoice Amount	Amount of the invoice.
Adjusted Payment Amount	This column reflects any adjustments made by the Buyer to the original invoice amount. These adjustments could be additional amounts or deductions as agreed between the Buyer and Supplier.
Credit Notes Applied Amount	If Credit Notes have been applied, this column will display the Invoice Amount (or Adjusted Payment Amount) less sum of Credit Notes.
Invoice Amount After Adjustments	The Net Amount of the invoice after Adjustments and/ or Credit Note being applied.
Due Date	The Due Date associated with the invoice.
Payment Date	Payment Date associated with the invoice. Payment Date is an alternative date (to the invoice due date) that the buyer has instructed these invoices to be paid on.
Issue Date	Issue Date of the invoice.
Offer Date	The date the Invoice Offer was made available to the Supplier.
Future Value Date	If a Future Value Date has been assigned to this group of invoices the date will appear. Refer to Future Value Date section for further information.
Net Amount Offered*	*The “Net Amount Offered” displayed herein is for indicative purpose only and does not represent a final or binding payment amount. The Net Amount Offered recalculates daily based on the underlying index rate and days remaining to Invoice Due/ Payment Date.
Status	The status of the Invoice Offer group.
View PDFs	This will provide a link to an invoice if a copy of the invoices was submitted by the Buyer.

Click the Invoice ID to display the Invoice Summary screen, providing additional invoice information provided by the Buyer.

The Group Invoices button is useful for the scenario where a Supplier only requires ‘x’ amount from the Invoice Offers to be accepted and processed.

To use this function:

STEP	ACTION
1	Click Group Invoices
2	Insert a helpful identifier into the Invoice Group Name such as ‘cash short Thursday’
3	Select currency of the invoices
4	Insert the total net invoice amount that is required
5	Click Group Invoices The system will then automatically seek a set of invoices that closely match the specified amount and display these invoices on the screen. You can accept the system selection of Invoice Offers by clicking Accept Invoice Grouping, or decline/ cancel the selection by clicking Cancel Invoice Grouping.
6	If the system selection is accepted, then the invoices can then be Accepted and Authorised.

Value Date

An Invoice Offer can be Accepted and Authorised with a future value date, which means the processing of the Invoice Offer will occur on the nominated date.
The net invoice amount will recalculate daily until the nominated value date.

To use this function:

1	Select the Invoice Offer Groups that the future value date needs to be applied to
2	Click Value Dates to Assign a Future Value Date
3	Select the date
4	Click Assign Future Value Date, or Cancel to cancel the action
5	The nominated Future Value Date will now appear in the Future Value Date column of the Invoice Groups

To remove a Future Value Date:

1	Select the Invoice Offer Groups with the future value date that needs to be removed
2	Click Value Dates to Remove a Future Value Date
3	The Future Value Date will be removed from the Future Value Date column of the Invoice Groups

Managing your Invoices

Future Value Dated invoices tab

Allows you to view invoices that have been authorised with a future value date and are pending to be processed. To remove a future value date and make the Invoice Offer available again for immediate Authorisation, select the Invoice Group and click the Reset to Offer.

History tab

Provides an invoice enquiry function to search and view specific invoices and invoice ids.

Supplier FAQs

QUESTION	ANSWER
When will the supplier receive payment?	ANZ will typically process the payment within the same business day of receiving instruction from the supplier as to which invoices the supplier wishes to elect for early payment. However, the supplier's local bank could take another 24 hours to clear funds into their account.
For Suppliers that are registered with different Buyer Payables Programs how do they view all the invoices? what is the login process? what reporting is available?	Suppliers will log on to their parent site to access the invoices and reporting for that program, then access the Subsidiary Access tab for each individual programs invoices and reports.
