The File Formats Guide contains the specifications for each available file listed below. Please note that the file formats are written from a payments perspective and as such, the following terminology should be considered for direct debits:
- Debit Account for payments is Credit Account for direct debits
- Beneficiary/Payee for payments is Payer for direct debits

You can upload a direct debit file from one of the following screens:

For instructions on how to upload your file, select the relevant file format:
ABA
- If you are entitled to more than one Division, select the Division under which the direct debit will be made

- Select ABA from the File Format drop-down list
- Leave the File Encoding default as UTF-8 or select US-ASCII from the drop-down list
File Encoding determines what data can be stored in the file. For example, ASCII can only store the basic set of English characters whereas UTF-8 can store every Unicode character.
- If you need to add new payers or edit payer details after the file is imported, ensure Disable Payer changes is not selected
If enabled, users will still be able to edit the amount or direct debit reference for each payer in the file.
- Enter a Direct Debit Reference up to 18 characters. This will appear as part of the narrative on the credit account and payers statement and on direct debit reports. If left blank, this will default to the Description of entries on File in the file Descriptive record.
- Enter a Statement Narrative up to 40 characters. This will appear as part of the narrative on the credit account statement. If left blank, this will default to the Description of entries on File + the User Identification Number in the file Descriptive record.
- Click Browse to find and select the file to upload
- Click Start Upload
RESULT: The file will be scanned and processed. You can find details of the file in the File Import Summary screen. If a direct debit was successfully created, it can be viewed in the Current Direct Debits screen.
CSV
- If you are entitled to more than one Division, select the Division under which the direct debit will be made

- Leave the File Encoding default as UTF-8 or select US-ASCII from the drop-down list

- Select the Credit Account the funds are being credited to
- If you are future dating the direct debit, click on the calendar in Value Date and choose a future date, up to 120 calendar days. Otherwise, leave the Value Date set to "today".
- If you need to set a specific Release Time for when the direct debit will be processed on the Value Date, select the Hour and Minute (in increments of 10 minutes)
- Enter a Direct Debit Name up to 16 characters. This will appear on direct debit reports.
- Enter a Statement Narrative up to 40 characters. This will appear as part of the narrative on the credit account statement. If left blank, this will default to the Description of entries on File + the User Identification Number in the file Descriptive record.
- Enter a Direct Debit Reference up to 18 characters. This will appear as part of the narrative on the credit account and payers statement and on direct debit reports. If left blank, this will default to the Description of entries on File in the file Descriptive record.
- Select the DE User ID from the drop-down list
- Click Browse to find and select the file to upload
- Click Start Upload

NZ CSV without Control Record

- If you need to set a specific Release Time for when the direct debit will be processed on the Value Date, select the Hour and Minute (in increments of 10 minutes)
- Select a Trace Account for direct debits that cannot be processed
- Enter a Direct Debit Name up to 16 characters. This will appear on direct debit reports.
- Select an Authorisation Code from the drop-down list
- Enter Particulars up to 12 characters that will appear as part of the narrative on the credit account statement
- Enter Code up to 12 characters that will appear as part of the narrative on the credit account statement
- Enter Reference up to 12 characters that will appear as part of the narrative on the credit account statement
- Click Browse to find and select the file to upload
- Click Start Upload
