Transactive Trade - Guarantees

Guarantees Overview
ANZ Transactive Trade allows you to initiate and manage your Guarantee portfolio online. You can create, amend, and authorise transactions within the application based on your user entitlements. You can also create and maintain reference data, view and download reports; customise company-specific reports; and initiate, view and respond to mail messages.
What is a Guarantee?
Bank Guarantees offer a secure payment of a stated sum of money to a named party (usually the Beneficiary) in the event of non-performance or default by a party in the relationship. ANZ will make payment on presentation of a written demand for payment by the Beneficiary. Bank Guarantees substitute cash deposits with counterparties, freeing up working capital and potentially securing better contract terms.
What is an ANZ pre-approved template?
Currently available in Australia, ANZ pre-approved templates: ANZ Standard Format, Work Cover Victoria and Work Cover WA, require minimal manual input, and allow you to create a 'draft' of the guarantee before approval.
In the coming months, additional ANZ pre-approved templates will become available and be expanded to our ANZ geographies, globally.
Guarantee transaction types
Transaction types that can be associated with a Guarantee instrument are as follows:
TRANSACTION TYPE DESCRIPTION
Adjustment Collection or refund of fees, charges or other miscellaneous amounts.
Advise An Inward Guarantee
Amend An amendment to the Instrument.
Commission in Arrears Periodic commission/fees collected at maturity. 
Commission in Advance Periodic commission/fees collected upfront.
Deactivate Cross-border Guarantees are deemed inactive five days after the expiry date and one day for Domestic Guarantees.
Expire The Instrument has expired as of the expiry date.
Extend An extension to the Outgoing Guarantee.
Issue An Outgoing Guarantee instruction.
Payment Guarantee payment or closure.
Context Panel menu
Context Panel menu presented on the right of the transaction screen will be visible to the user based on the Transaction Type, Workflow Status and the User's Entitlements. See the example below:

BUTTON DESCRIPTION
Amendment Application Click to download the amendment data into PDF from the Guarantee Amendment screen in a Ready to Authorise status.

Attach Document Click to attach supporting documents to the transaction in DOCX, PDF and XLSX.
Authorise Click to Authorise the transaction.
Transactions may require multiple Authorisation based on your Organisation's signing mandate.
Close Click to close out of the transaction.
Copy Instrument Click to create a copy of the existing Instrument.
Download Saved Data Click to download the transaction data into CSV.

Edit Click to edit the details of a transaction before the transaction is authorised.
Guarantee Application Form Click to download the transaction data into PDF.

Guarantee Draft Click Guarantee Draft to create a draft of the ANZ pre-approved template.
Route Transaction Click to route transaction to another user in the Organisation or Subsidiary company.
Save Click to save entered data in transactions periodically.
Save & Close Click to save entered data and close out of the transaction.
Send for Repair Click to send the transaction in a Ready to Check, Ready to Authorise or Partially Authorised status to the user(s) in your Organisation to Repair and update the required details.
Verify Data Click to verify the data in the transaction details fields. The system will return any errors or warnings for missing or inconsistent information. The transaction will progress to a Ready to Authorise stage when successful.
View Terms As Entered Click to view the data as entered upon creating and authorising the transaction, with a Processed by Bank status.

The standard workflow process to create a new Guarantee is as follows:

Outgoing Guarantee screen
The Outward Guarantee screen provides the mandatory and additional input fields required to submit a guarantee request. If an ANZ pre-approved template has been used, minimal mandatory input fields are required.

Issue an Outgoing Guarantee
There are multiple ways to create a new Outgoing Guarantee. Please choose from one of the following methods:
  • Method 1: Click New Instrument from the Application Banner menu, then Outgoing Guarantees. An Outgoing Guarantee Template Selector window will display with a list of ANZ pre-approved templates, including company managed templates.
    With ANZ pre-approved templates, only some of the following mandatory fields are required. If required, optional fields may also be completed to support the guarantee.
    For all other Outgoing Guarantee templates, all fields will be available for input.
  • Method 2: Click New Instrument from the Application Banner menu, then Choose Template
  • Method 3: Click New Instrument from the Application Banner menu, then Copy From Existing
  • Method 4: Open a previous Outgoing Guarantee, then click Copy Instrument
  • Method 5: Click Transactions from the Application Banner menu, then Pending Transactions or History. Choose an Outgoing Guarantee from the grid, then click Copy Selected.

 Enter the Beneficiary details

There are multiple ways to add Beneficiary details. Please choose from one of the following methods:

  • Method 1: Manually enter the Beneficiary Name, Address, Country
  • Method 2: Choose a Beneficiary Name from the drop-down list
  • Method 3: Click the search icon to choose a Beneficiary from your Address Book
2 If required, enter your Applicant Reference Number. This reference will appear on your reporting and account statements.
3 Choose the Type of Guarantee:
  • Advanced Payment
  • Maintenance
  • Other
  • Performance
  • Retention
  • Tender/Bid
4 Choose the Currency and enter an Amount
5 Choose the Expiry Place:
  • At Confirmation Counters
  • At Our Counters
  • Country of Beneficiary (default option)
  • Country of Seller
  • Other
If "Other" is selected, enter details in Other Conditions
6 If required, select Local Issuance Required
If this Instrument is to be reissued by another bank per the Beneficiary's request, select this tickbox and complete associated Local Issuer Bank Details.

If selected, provide the Local Issuer Bank details, including a Validity Date of the Local Issuer Bank (if known).

There are multiple ways to add Local Issuer Bank details. Please choose from one of the following methods:

  • Method 1: Manually enter the Local Issuer Bank Name, Address, Country
  • Method 2: Choose a Local Issuer Bank Name from the drop-down list
  • Method 3: Click the search icon to choose a Local Issuer Bank from your Address Book
7 Choose Valid From and Valid To date
  • Select No Expiry/Open Ended if the requested Instrument contains no stipulated expiry date or expiry event.
  • Select Expected Expiry if Instrument contains no stipulated expiry date but includes an expiry event, then enter the Other Expiry Conditions, e.g. 'this Guarantee expires upon presentation to ANZ of a Certificate of Completion issued and signed by the beneficiary'.
8 Enter Delivery To instructions
Select Deliver To Other if ANZ is required to deliver the completed Instrument to the applicant. Type 'Applicant' in the Business Name & Address Line 1 fields.
9 Choose Delivery By instructions:
  • Collection
  • Courier
  • Mail
  • Messenger
  • Other
  • Registered Mail/Airmail

 If required, enter Advising Bank Details.
Enter Advising Bank details only if the Beneficiary requests the ANZ Bank Guarantee instrument to be advised strictly through a nominated bank.

There are multiple ways to add Advising Bank details. Please choose from one of the following methods:

  • Method 1: Manually enter the Advising Bank Name, Address and SWIFT Code
  • Method 2: Choose an Advising Bank Name from the drop-down list
  • Method 3: Click the search icon to choose an Advising Bank Name from your Address Book

 If required, enter Governing Law/Demand Details
Enter details to convey additional Instrument attributes not contained or not in conflict in Section 3 – Guarantee Terms & Conditions text.

Demand Type:

  • Multiple and Partial Demands are not permitted
  • Multiple Demands are not permitted

2. AutoExtend Terms/ICC Rules
STEP ACTION
1 If required, select the Auto Extension checkbox to extend the Guarantee automatically.
Enter Auto Extension details if the Instrument is periodically renewable, as per the Terms and Conditions of the Instrument.
2 Choose Final Expiry Date or enter the Maximum Number of times to extend the Guarantee automatically.
3 Choose the Extension Period:
  • Annually
  • Daily (enter Number of Days)
  • Monthly
  • Quarterly
  • Semi-Annually
4 Enter Notify Beneficiary Days
5 Click the checkbox to apply ICC Applicable Rules
6 Choose the applicable Version:
  • ICC 458
  • None
  • Other
  • URDG Latest Version
3. Guarantee Terms and Conditions
STEP ACTION
1 Enter either Customer Text or Bank Standard Wording in the text box. Please enter text in one of the text fields. Please choose from one of the following methods:
  • Method 1: Manually enter text (not available for Bank Standard Wording)
  • Method 2: If available, Apply a Phrase 
2 If required, choose the Standard Wording Language
3 If required, enter Underlying Transaction Details
Enter details if you have nominated for the Guarantee instrument to be reissued by a "Local Issuer Bank" (See Section 1. Terms > Local Issuance Required). This detail is required to align with SWIFT messaging standards. Please specify the underlying business transaction details for which the issued undertaking.

Instructions entered here are for internal purposes only and will not be sent to the Bank.
Attach Documents to an Outgoing Guarantee
Eligible users can attach supporting documentation to the transaction, such as the format and text to be issued. The documents are sent to ANZ electronically in DOCX, PDF and XLSX, from within the transaction screen.
The maximum document file size cannot exceed 5mb per file, with a maximum of 20 files per transaction. The File Name must be less than 30 characters.
To attach documents, follow the below steps:

2 Please choose from one of the following methods:
  • Method 1: Choose Files
  • Method 2: Drag and drop document(s)
RESULT: The attached documents appear as an icon before being uploaded. mceclip0.png
3 If required, update the File Name. The File Name must be less than 30 characters.
Category fields can be left blank.
4 Click Upload Files

You can view the attached document(s) by selecting the document name. Alternatively, you can delete the attached document(s) by selecting the document checkbox and clicking Delete Documents from the Context Panel menu.
Verify an Outgoing Guarantee
Click Verify from the Context Panel menu to validate data input and attached supporting documents. The system will verify that all mandatory fields marked with an asterisk are complete. 
MESSAGE TYPE DESCRIPTION
Successful The data is successfully verified, and the Workflow Status is updated to Ready to Authorise.
RESULT: <Instrument Number> successfully updated. Saved at <Time>. mceclip2.png
Error The data is unsuccessful, and field(s) need attention. Click on the error message hyperlink to take you to the impacted field.

The Workflow Status will remain in Started.

Update the impacted field(s), then click Verify again.
Warning The data is successful but provides a warning to alert you to a particular field(s). If required, update the field and re-Verify.

The Workflow Status is updated to Ready to Authorise.

 

With ANZ pre-approved templates, you can generate a draft of the guarantee prior to approving the instrument.

To generate a draft of the guarantee, please follow the below steps:

  1. Click Guarantee Draft after the transaction has been verified and is in a Ready to Authorise status.
  2. The draft of the Guarantee will appear in your browser and can be saved to your preferred location for emailing or printing.
Authorise an Outgoing Guarantee
Click Authorise from the Context Panel menu to approve transactions in a Ready to Authorise or Partially Authorised status from within the transaction screen. You can also Authorise a transaction from the Pending Transactions screen.
Follow the instructions below that apply to you:
Authorise via One Time Password (OTP)
STEP ACTION
1 Press and hold down the < arrow and lock icon on your VASCO security device
2 Enter your 6-digit PIN
3 Press 1 on your device to display the authorisation code
4 Enter your authorisation code, then click Approve
RESULT: A confirmation message confirms the transaction(s) is approved.
  • If the transaction requires additional approvals, the transaction status will change to Partially Authorised and remain in this status until all approvals are obtained.
  • If this is the final approval, the transaction status will change to Authorised. 
  • If there is an error in the approval process, the transaction status will change to Authorise Failed.
Authorise via Signature Code (SIG)
STEP ACTION
1 Press and hold down the < arrow and lock icon on your VASCO security device
2 Enter your 6-digit PIN
3 Press 2 on your device and enter the token code from your screen
4 Press the < arrow to display the authorisation code
5 Enter your authorisation code, then click Approve
RESULT: A confirmation message confirms the transaction(s) is approved.
  • If the transaction requires additional approvals, the transaction status will change to Partially Authorised and will remain in this status until all approvals are obtained.
  • If this is the final approval, the transaction status will change to Authorised. 
  • If there is an error in the approval process, the transaction status will change to Authorise Failed.
Authorise via a Push Notification
STEP ACTION
1 Tap on the ANZ Digital Key notification on your mobile device to launch the ANZ Digital Key app
2 Tap Log On and authenticate access by entering your PIN, Face ID or Fingerprint ID. The screen will display the details of the request requiring approvals
3 Review the pending request details shown in ANZ Digital Key and tap to Accept or Decline the request
4 The request will be processed and completed. Close the app as no further action is required
Authorise via a QR Code
STEP ACTION
1 Tap Log On in ANZ Digital Key and authenticate access by entering your PIN, Face ID or Fingerprint ID
2 Tap Scan QR Code on the screen.

ANZ Digital Key will switch to camera mode. Use the camera to scan the request approval QR Code from your desktop or laptop computer.
3 Review the pending request details shown in ANZ Digital Key and tap to Accept or Decline the request
4 The request will be processed and completed. Close the app as no further action is required.
Amend a Guarantee
Amend an Outgoing Guarantee screen
The Outward Guarantee Amendment screen provides editable input fields for a guarantee amendment request.

Amend an Outgoing Guarantee
Eligible users can Amend a Guarantee in an Active status, where the terms of the Guarantee have changed.
STEP ACTION
1 There are multiple ways to amend an Outgoing Guarantee. Please choose from one of the following methods:
  • Method 1: Click Transactions > Create Amendment from the Application Banner menu, then search and select the transaction to amend
  • Method 2: Open the Instrument ID of a previous Outgoing Guarantee Current Terms Summary screen, then click Amend
2 Amend the editable details as required:
  • Amount (Increase/Decrease)
  • Valid From
  • Valid To
3 If required, click Attach Documents from the Context Panel menu to attach any supporting documentation
4 Click Verify from the Context Panel menu

Manage a Guarantee
View an Outgoing Guarantee transaction
Eligible users can view transaction details as input on the screen. You can also view transaction details via Guarantee Reports. For more information, please refer to Guarantee Reports in ANZ Transactive Trade. To view a transaction, follow the below steps:

1 There are multiple ways to view an Outgoing Guarantee transaction. Please choose from one of the following methods:
  • Method 1: From your Home screen dashboard, search and click on a transaction from the grid
  • Method 2: Click Transactions > Pending Transactions or Authorised Transactions from the Application Banner menu, then click on a transaction from the grid
  • Method 3: Click Transactions > History from the Application Banner menu, then click + to expand the Instrument, and click on a transaction
For transactions Processed by Bank, click View Terms as Entered from the Context Panel menu.
2 Click Close from the Context Panel menu
View an Outgoing Guarantee instrument
The Current Terms Summary provides an overview of the Instrument, including associated transactions and transaction logs. Click an Instrument ID from the grid from the Pending Transactions, Authorised Transactions or History screen.
The details displayed are relevant to the Instrument Type and Status of the transaction(s).
Summary
The Summary provides a high-level overview of the Instrument, including any amendments or payments processed.

View Commission and Charges
There are multiple ways to view Commission and Charges for a transaction in a Processed by Bank status. Please choose from one of the following methods:
  • Method 1: From your Home screen dashboard, click the Transaction type from Notifications
  • Method 2: Click the speech icon from the Application Banner to open the Notification screen
  • Method 3: Click Transactions > History from the Application Banner menu, then click + to expand an Instrument ID. 
  • Method 4: View and download the Fees and Charges Report. Please refer to Transactive Trade - Reports for a complete list of reports.
The section would be blank if there were no fees or commissions deducted.

You can also view the details with the attached Documents. Alternatively, you can click the Transaction type to view Commission and Charges.
View Documents
There are multiple ways to view Documents for a transaction in a Processed by Bank status. Please choose from one of the following methods:
  • Method 1: From your Home screen dashboard, click the Transaction type from All Transactions or Notifications
  • Method 2: Click the speech icon from the Application Banner to open the Notification screen
  • Method 3: Click Transactions > History from the Application Banner menu, then click + to expand an Instrument ID.

Edit an Outgoing Guarantee
Eligible users can edit the transaction details in a Ready to Authorise, Partially Authorised, Ready to Check or Authorised Failed status from within the transaction screen. To edit a transaction, follow the below steps:
STEP ACTION
1 Click Edit from the Context Panel menu
2 Edit the details as required
3 Click Verify from the Context Panel menu

Send for Repair an Outgoing Guarantee
Eligible users can send a transaction for repair that is in a Ready to Authorise, Partially Authorised, Ready to Check or Authorise Failed status from within the transaction screen. To Send for Repair, follow the below steps:
STEP ACTION
1 Click Send for Repair from the Context Panel menu
2 Enter the Repair Reason, e.g., update Currency to USD
3 If required, select user(s) name to send an Email Notification to
We recommend adding your email address to ensure you receive email notifications. For more information, please refer to Navigating the System > User Preferences.
4 Click Save & Close
RESULT: A confirmation message confirms the transaction is Sent for Repair, along with the Repair Reason and the user who requested the repair. The recipient will receive an email notification. See sample email advice in Guarantee FAQs. mceclip1.png
Route an Outgoing Guarantee
Eligible users can route transactions to users in their Organisation. The user will receive an email notification for the transaction. To Route a transaction, follow the below steps:
STEP ACTION
1 There are multiple ways to route an Outgoing Guarantee transaction. Please choose from one of the following methods:
  • Method 1: Click Transactions > Pending Transactions from the Application Banner menu. Choose an Outgoing Guarantee transaction(s) from the grid, then click Route
  • Method 2: Open an Outgoing Guarantee transaction that is not fully authorised, then click Route Transaction
2 Select recipient Person or Organisation
3 Click Route Item(s)
RESULT: Transaction successfully routed to the recipient who will receive an email notification.

Delete an Outgoing Guarantee
Eligible users can delete a transaction that is not fully authorised. To delete a transaction, follow the below steps:
STEP ACTION
1 Click Transactions > Pending Transactions from the Application Banner menu
2 Select the transaction(s) from the grid
3 Click Delete from the Context Panel menu
4 Click OK from the Alert window
RESULT: The transaction(s) is deleted from your Organisation's database.
Guarantee Reports
Guarantee reports list issued, received, and outstanding guarantees within a date range. You can download transaction lists from the Pending Approval, Current Instruments and Past Instruments screens.

Guarantee reports in ANZ Transactive Trade
In ANZ Transactive Trade, Guarantee reports provide a list of issued, received, and outstanding Guarantees within a date range. You can download these reports in CSV, PDF and XLSX.

VIEW AND DOWNLOAD

To view and download Guarantee reports in ANZ Transactive Trade, follow the below steps:
STEP ACTION
1 Click Reports > Standard Reports from the Application Banner menu
2 Filter to Show Guarantees
3 Click a Report Name from the grid
4 Enter Report Criteria, e.g. Date Range
5 Click Show Report
RESULT: The report is visible on the screen.
  • Click the arrows to scroll through the pages or choose a page number for reports with multiple pages.
  • Click the downward arrow to enter new Report Criteria and rerun the report. mceclip0.png
6 If required, click Expand to view the report in the same size as your screen.
7 If required, click Save As to save a copy of the report, then enter a Report Name, Report Description, Report Type and save as a Standard or Custom Report. Then click Save.
8 If required, click the icon to download the report in CSV, PDF or XLSX
9 Click Close to exit out of the report
Guarantee reports in ANZ Transactive - Global
In ANZ Transactive - Global, Guarantee reports provide a list of all transactions in the Pending Approval, Current Instruments and Past Instruments screens. You can also schedule, download and email the transaction in CSV or PDF.

Guarantee FAQs
Can I view manually processed Guarantees online?
Yes. You can view your paper-based Guarantees via ANZ Transactive Trade when you have submitted your Guarantee application forms and supporting documents directly to ANZ for manual processing. 
  • The instrument number will have a GO prefix when processed manually instead of GOP, when processed online.
  • You can view the Current Terms Summary, associated commission and charges, as well as the generated Acknowledgement.
  • The Transaction Log will show 'Bank' as the Action, as the Bank had performed the Guarantee issuance upon your request.
