While creating a new Company Managed user, ANZ recommends regularly reviewing existing user access via the User Management Screen and disabling or deleting any inactive users. This will assist in safeguarding your organisation’s accounts and information by reducing the risk of unauthorised access.
- To create an ANZ Managed user with a security device, please refer to Digital Channels Service Requests > Add User.
- To create an ANZ Managed user with a security device with a Commercial Cards role, please refer to Commercial Cards Roles.
- It is a requirement that security device approvers must have Know Your Customer (KYC) information registered with ANZ to approve payments and direct debits, and create and manage Commercial Cards Service Requests. For more information, please refer to Digital Services Security Features.

There are two ways to create a new Company Managed user. Please choose from one of the following methods:
- Method 1: Click Create User on the Administration menu
- Method 2: Click User Management on the Administration menu, then click New on the Control Bar
Complete the sections below:
User Details
- Enter the user’s First Name
- Enter the user’s Last Name
- Update the user’s Preferred Name if required
- Enter the user’s Email Address
ANZ recommends entering a user's email address (not a group mailbox), as this is used for scheduled report emails if set-up and any notifications.

The User ID field is populated after you enter the user’s first and last name and follows this structure:
- First four letters of the user’s surname, then;
- First letter of the user’s first name, then;
- First three letters of the user’s organisation name.
E.g. The User ID for John Citizen from ABC Co. would be CITIJABC. If available, click Check Availability to validate the new User ID.
- Spaces are not permitted
- The User ID is not case-sensitive but will be converted to capitals/uppercase
- Up to 60 alphanumeric characters and special characters (_ - . @) are permissible, but this is not recommended
- Select the user's work Address from the drop-down list or click +Add New Address to add a new work address
Add New Address
- Enter the Address Line 1 of the user’s physical work address
PO Box addresses must not be entered.
- If available, enter the Address Line 2 of the user’s address
- Enter the City/Suburb of the user’s address
- Enter the State/Province/Region of the user’s address
- Select the Country or Region from the drop-down list
- Enter the Zip/Postal code of the user’s address
- Click Ok
- Enter the Address Line 1 of the user’s physical work address
- Select the user’s Country or Region Code, then enter the user’s mobile phone number.
- For Australian mobile numbers, do not enter the leading zero.
- Landline numbers must not be entered.
User Permissions
Where multiple roles set conflicting approval discretion values for a payment type, the lowest approval discretion value will apply. User Permissions.
Copy Permissions from Another User
- Click Copy Permissions from Another User
- Select another user in the Select A User pop-up window. You can search for a user by entering any part of the user's User ID, First Name or Last Name.
- Click Copy From User
RESULT: A pop-up message is displayed advising which new permissions have been added to the user or advising that the selected user’s permissions cannot be copied.
- Click OK
Add Permissions
- Click Add Permissions
RESULT: The Select A Role pop-up window is displayed.
- Select a system or custom role to assign to the user and click Continue
RESULT: The Permissions Settings pop-up window is displayed.
- If your organisation is setup with multiple Divisions, select the Division to entitle to the user
- If required, change the default Permission Settings and click Add Permission.
Permission settings can include the following attributes:
- Add all Accounts, add selected Accounts or Account Groups, remove all Accounts from Payments, Receivables, Balance & Transaction Reporting and Service Requests
- Manage Payment Purpose: Standard and Payroll
- Manage Confidential Data Groups
- Manage Approval Discretions (Limits)
- Manage Strategic and Operational Insights
- Manage Billing Enquiries
- Manage Loan Reporting
- Manage Service Requests
- Manage FX Services

RESULT: A confirmation message is displayed, and the role is added to the User Permissions table.
To assign additional roles to the user, repeat steps 1 - 4. Note that only one Commercial Cards role can be assigned to a user.
To remove one or more roles from the list, tick the checkbox next to the role and click Remove Permissions.

Assign Authorisation Group
If your organisation uses a panel approval workflow, assign an Authorisation Group (A-J) to the user.
- Applicable only for users that have approval permissions
- Only one Authorisation Group can be assigned to a user
Submit
Review the user details and click Submit.
RESULT: A “Your Request is Being Processed” progress box is displayed. As each stage is completed the progress box is updated accordingly:
- For Organisations that have one Administrator who creates and approves requests, a Generate Password pop-up window is displayed with the temporary password that has been generated for the user:
Provide the User ID and temporary password to the new user. The User Status is set to Active and the Workflow is set to Approved.
- For Organisations that have two or more Administrators who approve requests, the password will be generated upon final approval. The User Status is set to Active and the Workflow is set to Pending Approval - Register. An Administrator needs to Approve or Reject the creation of the user.
